Use AI in the CRM system

AI in the CRM system helps you efficiently manage messages, emails, and CRM objects such as deals, contacts, and tasks. Use it to create content from scratch, edit existing text, generate replies, and improve interactions with customers.

In this article, we will talk about how you can use AI in the CRM system.

In the CRM system, you can use AI to manage text fields in deals, contacts, task notes, and emails.

You can use up to 200 free prompts. If you need more, integrate an AI model (OpenAI, DeepSeek, Gemini, or Claude) in your account settings.

Generating text

Open a CRM object and click the AI button next to the input field.

In the modal window, enter a prompt describing your requirements.

Here’s what your prompt can include:

Business type. Your company’s industry and how you interact with customers.

Message goal. What you want to achieve, such as replying to a customer, sending a reminder, or supporting a deal.

Context. A brief overview of the relevant background for a deal or request.

Target audience. Your customer’s role, level of expertise, or type.

Key points. Key ideas that must be included in the text.

Message tone. Tone of voice that fits your usual customer communication.

If needed, select an AI model from the drop-down list. Click the arrow to send your prompt.

Wait a few seconds while the AI generates your text. To use it in the input field, click Insert. To create a new prompt and get a different text version, click New prompt and update your requirements.

Once the AI generates an email copy in the Inbox section, click Answer. The email editor will appear with your generated text already inserted, so you can edit it and send your message.

Editing text

You can also edit the text that you enter. To do this, select a piece of text, click the AI button, and enter a prompt or use quick actions.

Wait a few seconds while the AI generates your text. You can apply it using the following options:

New prompt Generates new text based on your prompt, without using the previous context.
Add below Inserts the generated text below your selected piece of text.
Replace Completely replaces your selected text with the AI-generated one.

Using quick actions

To take an action in your text without entering a prompt, click AI > Quick actions. Select one of the following options:

Custom prompt Uses saved prompts to generate text. Select a prompt by name.
Tone of voice Changes the tone of your text to friendly, professional, motivational, neutral, or informal. Select an option from the drop-down list.
Text actions Changes the meaning or structure of your existing text. Select an action from the drop-down list: rephrase, simplify, shorten, fix mistakes, summarize, or generate a reply.
Translate into Changes the language of your selected text. Select a language from the drop-down list.

You can also copy the generated text. To do this, hover over it and click the duplicate icon. The text will be copied as code to your device’s clipboard.

Choosing an AI model

You can use your first 200 free prompts to test different AI models and choose one that works for you. Once you integrate an AI model with your account, all requests will be counted from that AI account.

In the AI assistant modal window, click your current model and choose one from the list:

OpenAI

These models work well for most everyday CRM tasks. They handle business correspondence, customer replies, text editing, and tone adjustments effectively.

Select a GPT model.

DeepSeek

These models help generate structured text, clear wording, and concise answers. They work well for instructions, internal notes, short explanations, and technical descriptions.

Select a DeepSeek model.

Claude

These models handle long text and complex context efficiently. They can summarize large volumes of information, draft detailed replies, analyze correspondence, and create structured content.

Select a Claude model.

You can also integrate and use Gemini, but it can only be used with paid prompts.
