How to Send Bulk Emails with Gmail

Gmail supports sending a limited number of bulk emails. However, there are a number of caveats because Gmail is not optimized for bulk mailing, whereas SendPulse is specifically designed for sending bulk emails at no cost, including Gmail recipients. This tutorial provides a step-by-step guide.

There are three ways to send bulk emails.

Firstly, you can manually add multiple recipients to one email in Gmail. This is not very practical because Gmail limits the number of recipients per email to 500.

Secondly, you can use a browser extension like GMass. This is much more convenient than the first method, but it has weak points, too. You can’t create beautiful marketing emails, and working with a large list of recipients is still inconvenient.

Finally, you can use a bulk email service, which is explicitly designed for sending emails to large mailing lists.

Before crafting your first email campaign for Google accounts, consider reviewing the tools SendPulse offers to improve your email marketing campaigns and overall marketing efforts.

  • Subscription forms. They allow you to collect new subscribers from your website. With a simple form creator, you can start creating your subscription form by adding content, changing the style, and adding images. You can set up your form to appear on your site: immediately or several seconds after users open your site.
  • Built-in CRM. After collecting contact data through your subscription forms, this information will be transferred to SendPulse’s CRM. You can keep all the customer information in your CRM database and use it once you need to reach customers through email and messengers like WhatsApp, Telegram, or Facebook Messenger.
  • Email address verifier. It enables you to check whether email addresses on your mailing lists or uploaded files exist and are valid and active. After the verification, you'll see the statuses of the verified email addresses: valid, invalid, and unconfirmed. Email address verifier helps you keep your mailing lists clean, establish a positive sender reputation, and stay out of the spam folder.
  • Segmentation. It allows you to divide your audience into groups based on similarities like age, gender, location, etc. As a result, you can send bulk emails that contain slightly different information to sound relevant to each segment and meet their needs.
  • Personalization. You can send personalized bulk emails to increase subscriber engagement. Personalization implies adding the recipient's name to the subject line and email content. You can also make it more effective by creating custom onboarding, purchasing, lead nurturing, and other processes.
  • Library of 130+ email templates. It will help you save time and find a design for any purpose, event, or promotion that meets your requirements. After choosing the template, you can modify its content and appearance to match your branding. It will take you 15 minutes to create a good-looking email.
  • Intuitive drag-and-drop email builder. You can build your email campaign from scratch or a ready-to-go template without coding skills by adding the necessary elements to the editor’s field. These elements include text, images, buttons, videos, and social media links. You can change their size, color, and style. With the service’s email template builder, you’ll build a responsive email with a design your company needs by modifying the background, text color, font size, style, and other parameters crucial to your brand.
  • Automation 360. It empowers you to combine six marketing channels, such as email, SMS, web push, Facebook Messenger, Instagram, Telegram, and WhatsApp chatbots, and boost the effectiveness of your marketing efforts. With Automation 360, you can send welcome emails, bonus offers, abandoned cart reminders, thank-you emails, or notifications through the preferred channels on autopilot based on user behavior.
  • Built-in spam checker. It enables you to improve your email deliverability. When you are about to finish designing your email, the spam checker analyzes your campaign and gives tips on which element to improve.

Follow these six simple steps to send bulk emails the right way:

Create a mailing list

The platform lets you manually import your existing mailing lists or add email addresses to the service.

To add a mailing list, go to the “Mailing Lists” tab and click “Create mailing list.” Fill in the details regarding your mailing list and choose whether you want to import your contacts by uploading a file or manually adding each email address.

The service allows you to assign tags to all your imported email addresses to segment them later.

By selecting the “Email verification” checkbox, you can verify your mailing list and find any invalid emails.

If you don’t have a mailing list yet, create a subscription form in SendPulse to collect your prospects’ contact data. You can choose one of the pre-built forms and modify it based on your brand’s needs. Select the format, set up display options, and start collecting prospects’ contact data immediately.

Create a custom variable in a mailing list

Go to “Mailing Lists,” open the list where you want to add a variable, and click “Create variable.” Enter a variable name and select the variable type. The type depends on the information that needs to be passed in it. Select the “Available for editing by the subscriber” checkbox if you want to allow subscribers to edit their data themselves.

Go to the main menu and click the “Create campaign” button to start creating your bulk email. Once you start creating the first email campaign for a new mailing list, the “Address activation” pop-up window appears. In the “Source of mailing list” field, select the source of the email addresses.

Insert information about the campaign

Choose the mailing list you want to send your email campaign to. You can send it to one or multiple mailing lists simultaneously. Consider applying segmentation to send specific emails to specific audience segments based on their needs, preferences, and problems for a more personalized experience. Choose segmentation conditions according to your requirements.

You can find more information about segmentation in our article.

Use personalization

Enter the subject line and apply personalization. Adding emojis and customer data can make your emails look more personal. Click on {}, and select a variable. Add criteria.

Add email content

You can create emails from scratch or choose one from a library of 130+ email templates for various industries. The service allows you to drag and drop elements like text, images, and videos into the editor’s field to build an email that matches your brand’s requirements.

Manage message content

Click the “Edit the preheader” button to change your preheader text. The first words from your email template form the preheader by default. To change it, you need to edit your preheader. Since the email preheader follows your subject line, you should ensure that it provides an idea of what your email is about. This way, users will understand what your email is about when checking their inboxes.

Configure campaign parameters

You can enable viewing statistics by ticking opens and clicks. You can allow adding tags to each link to track analytics in Google Analytics. Besides, the service enables you to track how many users unsubscribe from your email newsletter or mark your email as spam. All this data will help you analyze your email campaign performance and make well-informed decisions on improving your emails and overall marketing strategy.

Preview and send

Finally, check information about your campaign, including mailing list, sender, subject line, and message content. Click “Get recommendations” to improve your email deliverability and prevent your email from going into spam.
